What should you do when you suddenly need to report data to the state or federal government? The prospect can be alarming, especially if you’re not prepared. Many practices found themselves in this position when they needed to show loss of revenue during the COVID-19 pandemic after receiving more than $10,000 in Provider Relief Funds (PRF). Fortunately, PCC reports are consistently updated so that pediatricians can focus less on data collection and more on their patients.
The Quarterly Revenue by Insurance Group report, as well as the detailed instructions on PCC Learn, helped practices report on the funds they received as part of the CARES Act of 2020. To build the report, we worked with practices on the ground seeking to understand the requirements of HRSA and the precise income numbers needed for the reporting.
The resulting report helped practices more easily report their incomes and relief funds to the government. Future uses include accounting and analyzing payments by insurers.
Analytics reporting helps your practice collect aggregate data to better understand how the business and clinical aspects of your practice are functioning and how to make them better. You might be surprised to learn that these improvements extend all the way to how you price visits.
If you haven’t examined your prices lately, it might be time to do so. PCC practices can check this easily with the Pricing Analysis (RVU Report per Procedure) report, under the Financial Reports menu in the Smart Reports Suite (SRS). This report is a favorite of PCC’s Director of Pediatric Solutions Chip Hart:
“It's the quickest way to ensure that your pricing is right and you get to look at all your CPT volume in one place, so you might notice something is off there. You can also filter it for a specific payor to really understand how much they are paying you relative to Medicare. If you're supposed to be getting 110% of Medicare, for example, this is how you find out.”
A look at this report can compare your average price for a procedure, and compare it to other practices in your region, based on the standard Medicare reimbursement. This is how you can spot if you’re under-charging for a procedure and explore options for increasing it, leading to higher revenue. Not a bad pricing tool!
Some day you might be able to view your work productivity on your digital watch alongside your daily steps, but in the meantime, there are PCC reports for that! If you’re wondering how to begin discussions on compensation, nominating a partner, future retirement plans, or adding another provider to your practice, it just makes sense to look at productivity.
There’s actually a few PCC reports you could choose to examine provider productivity. The Total Visits, Charges, and Payments By Provider report gives a great overview of the work done by individual physicians. Total RVUs By Provider gives a similar overview while focusing on RVUs, rather than procedures. E&M Coding Distribution by Provider allows managing physicians to examine the sick-to-well visit ratio of themselves and their employed physicians. No matter the time of year, you can eliminate periods of empty schedule slots, as well as anticipate those busy periods with patient recall. Patient recall fills empty schedules and can make the busy season of colds and flu easier for practices to handle. A consistent schedule can also even out monthly revenue cycles, relieving stress around bills and payments.
Patient recall is a process that’s worth an in-depth look for long-term success, but a great place to get started is by calling in families with overdue vaccines and scheduling future appointments to get everyone back on track with their vaccine schedule.
To get a quick and easy look at which patients are missing vaccines or overdue, PCC practices can either use the Overdue Vaccine Recall report, or view their Practice Vitals Dashboard, where all kinds of analytics information is organized for your convenience and updated each month.
You’ll see which patients are overdue for vaccines, when the recommended next dose was, and when the vaccination will be considered past due. This report is a wonderful solution for a slow afternoon when the front desk has few tasks. Alternatively, office managers can assign a staff member to call patients for a set time per day.
